Walkthrough reminders and attendance
The single most common reason a deal slips is that investors don't show up to the walkthrough they said they'd attend. Covent's automated reminders cut no-show rates significantly, and post-walkthrough attendance tracking gives you a clean record for follow-up.
Setting up a reminder
When you create or edit a Walkthrough event on the calendar:
- Add investor attendees (with role Investor).
- In the reminders section, add one or more reminders.
- For each reminder, pick:
- Channel: SMS, email, or both.
- Timing: how long before the event to send (for example, 24 hours, 1 hour, 15 minutes).
Reminders go out to the people you've added as attendees, using the contact info on their investor profile.
Reminder status
After save, each reminder appears with a live status:
- Scheduled. Queued but not yet sent.
- Sent. Delivered to the carrier (SMS) or the email provider.
- Failed. Did not send. Most common reasons: invalid phone or email, opted out, wallet balance exhausted.
Failed reminders surface inline on the event so you can fix and reschedule without guesswork.
Marking attendance
After the walkthrough, go back to the event and for each investor attendee set:
- Pending (default - you haven't marked yet)
- Attended
- No-show
Attendance is recorded on the investor's profile. So your next conversation - especially your follow-up campaign - knows whether they were physically in front of the property or not.
How attendance feeds follow-up
A simple pattern:
- Attended investors. High-intent. Follow up within 4 hours with a tailored message referencing something from the walkthrough.
- No-shows. Lower intent for this deal. Either reschedule (if they reached out) or leave them out of tight-deadline campaigns.
Segment future campaigns on attendance to avoid over-contacting no-shows with the same pitch.
Common pitfalls
- Sending reminders too early. A 24-hour SMS is useful. A 72-hour SMS gets forgotten.
- SMS-only reminders to investors who only use email. Add email as a fallback for new or unvetted investors.
- Forgetting to mark attendance. If the record isn't filled in, the analytics and follow-up logic treat everyone as pending.
